To ensure accurate financial reporting and maintain alignment between CommandMC/AccountEdge, all closed Transactions must be accounted for within a CommandMC Deposit, and then uploaded into AccountEdge as a Journal Entry via a Deposit download/import.
- By performing these steps regularly, you can keep key financial metrics in balance between CommandMC and AccountEdge.
- It is recommended to execute this process as frequently as possible to ensure both systems are synchronized, before finalizing Month End Close.
That being said, sometimes you have to make edits to closed Transactions, in the same period as they were closed. In this case we will need to update/delete the Deposit in CommandMC, delete the Deposit Journal Entry in AccountEdge, and then download/import a new Deposit file into AccountEdge after the changes have been made to the Transaction.
- If a closed Transaction from a previous period needs to be edited, you won't be able to use this process, but will instead need to create an Adjustment Transaction, in CommandMC, and then download/import a new Deposit file into AccountEdge.
- If the Transaction that needs an edit was never included in a Deposit, you won't need to follow these steps, just simply undo the closing, make the edits, and then create a new Deposit.
To update/delete a Deposit (CommandMC) and reconcile the change in AccountEdge:
Access the Deposit
1. Log in to https://agent.kw.com with your KW login credentials.
2. At the top of the page, click CommandMC.
3. Click to access the Transactions Applet, , on the left side of the page.
4. Click the Deposit tab, select the Deposit History sub-tab.
|
Just clicking on a Deposit only shows you a high-level view of the aggregate financial data included. If you are unsure of which Deposit the Transaction is in, you need to click the Ellipses icon,
|
Depending on how many Transactions are included in the Deposit, you will either need to Update the Deposit to remove the Transaction you need to edit (multiple Transactions in Deposit), or Delete the Deposit (one Transaction in the Deposit).
Update a Deposit to Remove a Transaction
1. If there are multiple Transactions included in the Deposit, you will need to update the Deposit to remove the Transaction that needs editing. Click the Ellipses icon, , next to the Deposit and select Edit.
2. Deselect the Transaction that you want to remove from the Deposit, then click Update Deposit.
- As you deselect, you will see the updated financial information
3. A confirmation will appear, click Yes, Update.
4. Once you click to update the Deposit, the download will automatically start. If you set your browser to ask where to download (recommended), choose where you want the file to download to and click Save.
- If you don't have that browser setting turned on, it will appear in your Downloads folder, on your computer.
- Learn how to change your Google Chrome settings for it to ask where you want to download files to.
| Keep in mind that there is already a downloaded Deposit file here, from before you updated. Edit the file name of the new, updated file so you know which is which. |
5. Now you will need to Import the updated Deposit file into AccountEdge.
On the Deposit History tab, you will see the updated Deposit, with the number of Transactions reflecting the removed Transaction. On the Create Deposit tab, you will see the removed Transaction on the Outstanding Transactions list. This enables you to now Undo the Closing on the removed Transaction, and make the edits you need.
- Now skip to the Delete the Imported Deposit Transaction Journal Entry section below.
Delete a Deposit
1. If the Transaction you need to edit is the only one included in the Deposit, we just need to delete that Deposit (you will then create a new Deposit for the updated Transaction, once it is closed). Click the Ellipses icon, , next to the Deposit and select Delete.
2. A confirmation will appear, click Yes, Delete.
On the Deposit History tab, you will see the deleted Deposit with the "DL" designation. On the Create Deposit tab, you will see the removed Transaction on the Outstanding Transactions list. This enables you to now Undo the Closing on the removed Transaction, and make the edits you need.
Delete the Imported Deposit Transaction Journal Entry in AccountEdge
Now we need to delete the Transaction Journal, in AccountEdge, of the Deposit you just Updated or Deleted. You will download/import a new Transaction Journal once it has been edited and closed.
1. Open AccountEdge.
2. On the Accounts tab, click Transaction Journal.
3. Click the Date/Deposit Number of the Transaction Journal you need to delete.
4. Once in the Transaction Journal, click Edit, at the top right of the page, and select Delete General Journal Transaction.
5. A confirmation will appear, click Yes.
6. Sync this change with CommandMC.
At this point, you are ready to Undo the Closing on the Transaction you need to edit, and make the edits you need.
