Your CommandMC Associates database includes the ability to fully customize how you view your associates, based on the task at hand. You can choose which columns show up, and in which order. You have a set of comprehensive filters that you can use to find the associates that you need, at the right time. When you combine a column setup and a set of filters that you know you will use often, save this setup as a SmartView, for easy access later, while you build daily habits. You can access an entire list of SmartViews that you can switch between, throughout the day.
To learn how to customize columns, use filters and create SmartViews to find associates in CommandMC:
Access
1. Log in to https://agent.kw.com with your Keller Williams login credentials.
2. Click CommandMC at the top of the page.
3. Click to access the Associates Applet, , on the left side of the page.
Search
1. When looking for an associate, the quickest and easiest way to find someone is by using the Search. This is a Name Search, so you won't be able to search by phone number or email address.
Filters
1. Filters are a great way to find someone specific, or to focus on a group of associates by role, tags, status, etc. To access, click the Filters icon, , above the associate list.
2. Once you access filters, there are several criteria you can filter by:
- Status - select whether you want to view Active Associates, Inactive Associates, or All.
- Roles - you will see a list of Market Center Leadership roles, as well as the Agent role (Licensed Associate, Licensed Referral Only, Licensed Admin Agent) and Unlicensed Associate (this is an unlicensed non-leadership role). Select any number of roles, and the roster will only display associates with at least one of those roles.
- Tags - select any number of Associate Tags. The roster will only display associates with at least one of those tags applied.
- Retention Risk - filter based on Retention Risk status. For this filter, an associate has either an "At Risk" or "No Risk" status, and there is also an "At Risk - Not Contacted" selection, which denotes an associate who has not been contacted since they got the "At Risk" status.
-
Retention Reasons - when there are associates with the "At Risk" status, there will always be a Retention Risk Reason that goes along with it, this filter allows you to narrow you results based on these reasons (if you don't see one or more of these reasons in the filter, it means no one on your roster is At Risk due to that reason).
- Agent Demographics - At Risk due to the agent's time at the Market Center, along with other factors has impacted their score. Consider generating community by inviting them to upcoming events, trainings, or coaching/consulting them into higher production levels.
- Production - At Risk because the agent's production has declined or been inconsistent. Consider connecting them with a productivity based training or coaching program.
- Cap Reset - At Risk because their Agent Company Dollar Cap and/or Royalty Cap will reset within 60 days. Connect with them to consult on ways to Cap faster next year, or connect them with productivity-based coaching to achieve the Capped status.
- Command Engagement - At Risk because the agent is interacting with KW Technology at a low level. Consider connecting them with your tech-focused leader for a consultation, or a coaching session focused on boosting they business using Command.
- Team Characteristics - At Risk because newer teams may see higher turnover. It could be a good time to Connect with the Rainmaker for a People Assessment or a discussion around the Organization Model.
- Birthday - filter based on the birthday entered for an associate. This gives the ability to choose a preset timeframe (This Week, Next Week, etc.) or enter a custom date range.
- MC Anniversary - filter based on the Org. Start Date (not editable) logged for an associate. This gives the ability to choose a preset timeframe (This Week, Next Week, etc.) or enter a custom date range.
- KW Anniversary - filter based on the KW Start Date (not editable) logged for an associate. This gives the ability to choose a preset timeframe (This Week, Next Week, etc.) or enter a custom date range.
- Cap Anniversary - filter based on the Company Dollar Cap Anniversary entered for an associate. This gives the ability to choose a preset timeframe (This Week, Next Week, etc.) or enter a custom date range.
- Cap Status - filter based on Company Dollar Cap Status by selecting any number of the following checkboxes: Fully Capped, Half Capped, Quarter Capped, Less than Quarter Capped, and Zero.
- Cap Achievement Date - filter based on when an associate has reached their full Cap status. This gives the ability to choose a preset timeframe (This Week, Next Week, etc.) or enter a custom date range.
- Company Dollar Paid - filter based on the total Company Dollar paid in by an agent. In the filter, select the qualifier (Greater Than, Equals, or Less Than) and then enter the dollar amount you want to filter by.
- Company Dollar Cap Status % - filter based on the percentage of the total Company Dollar paid in by an agent. In the filter, select the qualifier (Greater Than, Equals, or Less Than) and then enter the percentage amount you want to filter by (e.g. "Less Than" 50% would show everyone who isn't at least a half capper).
- License Expiration Date - filter based on the License Expiration Date entered for an associate. This gives the ability to choose a preset timeframe (This Week, Next Week, etc.) or enter a custom date range.
-
Last Contacted Date - filter based on the last activity logged for an associate. This gives the ability to choose a preset timeframe (This Week, Last Week, etc.) or enter a custom date range.
- This does not take in to account any SmartPlan emails sent to an associate.
-
Next Task Due Date - filter based on when the next task, associated with an associate, is due. This gives the ability to choose a preset timeframe (This Week, Next Week, etc.) or enter a custom date range.
- Right now, you can only associate tasks with an associate using CommandMC SmartPlans, you can't manually create a task and associate it with an associate.
- Vested Status - filter based on whether the associate is vested for Profit Share (All, Yes, or No). This is a good filter to pair with the Inactive Status filter, to identify Vested Retired (VR) associates.
- YTD Total Units - filter based on number of closed units on a year-to-date basis (data refreshes once a month, after Month End Close). In the filter, select the qualifier (At Least, Exactly, or At Most) and then enter the number of units you want to filter by.
- Current Listings - filter based on number of active listings. In the filter, select the qualifier (At Least, Exactly, or At Most) and then enter the number of listings you want to filter by.
- Teams - filter associates based on team membership. Select any number of teams that are set up in your Market Center. Associates will display if they are a member of one of the selected teams.
3. Click Apply, at the bottom right of the screen, once your filters are selected.
Columns & Sorting
1. You have the ability to add/remove columns and to reorder them. To do this, click the Customize Columns icon, , at the top right of the table.
2. You can select or deselect columns you want to appear/not appear on the left side of the modal, and you can click/drag the selected columns in the order you want them to appear, on the right side.
3. Click Apply when finished.
4. As you hover over column titles, you will notice that an arrow will appear next to some of the fields, which indicates that it is a sortable field. Click the column title (if it's sortable) to sort, and click again to reverse the order of the sort. The following fields are sortable:
- Associate Name (Last Name), Status, Last Contacted, Next Task, MC Start Date, Contacts (# of Contacts in Command), Current Listings, YTD Total Units, Prod Goal, License Number, License Exp. Date, Real Estate Start Date, KW Start Date, KW Status, Vested, City, and Postal Code.
SmartViews
| SmartViews in CommandMC are Market Center specific. If you are a leader in multiple Market Centers, be purposeful with the Market Center you have selected at the top right of CommandMC, as that is the only MC you will see the new SmartView in. If you want to use that SmartView in another Market Center, you will need to recreate it from scratch. |
1. Once you get everything set up just the way you want, you can create a SmartView, which saves the setup for easy access in the future. Click Create, at the top left of the roster, give it a SmartView Name, then click Create.
- If you want this SmartView to the the view that shows up every time you access the Associates Applet, check the Set as my default SmartView checkbox, before creating.
2. Once you create SmartViews, click the SmartView drop-down and select the one you want to access. If you want to rename or delete SmartView, click Manage SmartViews.
3. When managing SmartView, click the Ellipses icon, , and select Rename or Delete.
- You can also select the default SmartView you want to appear automatically every time you access Associates.
4. If you select a SmartView and make changes to the filters, sorting, etc., you can click Update to save the changes to the SmartView.
