Onboarding
First, you will need to complete onboarding paperwork. You are welcome to secure this information digitally using DocuSign, or in person and handwritten on paper. Be sure to scan all physically completed forms for long-term preservation. Here’s what you’ll need to be sure you are collecting:
- Local Employment Agreement
- Federal, state and local tax forms where applicable (W-4, State and Local Income Tax)
- Confidentiality Agreement (Leadership Only)
- MC Specific forms (for FOBs, Keys, etc.)
General Onboarding
Starts in Recruits:

New Associate:
- Create their Recruit Card in CommandMC.
- Invite the Associate to the Market Center through CommandMC (New/Returning Associate Entry)
- Receive Confirmation Email of the Completion of the New Associate KW Joining Portal

Returning Associate:
- find and edit their existing Recruit Record to add them to the Recruiting Pipeline.
- Invite the Associate to the Market Center through CommandMC (New/Returning Associate Entry)
- Receive Confirmation Email of the Completion of the Returning Associate KW Joining Portal
- Active in another MC:
Once in the Associates Applet:
Review the Associate's KW Password Recovery Email Address and Ensure It is a Personal Address (Not an @KW.com Address)
Agents

Activate Agent Status for an Associate (if applicable)

- After activation, you might need to adjust the agent's production status (Licensed Referral Only (AR) or Licensed Admin Agent (AO))

- Add the Agent’s MLS ID to their Associate Record
- Determine if the associate is a good candidate for Cap Management.

Leadership
Approval needed to get leadership role:
- Operating Principal (OP), Market Center Administrator (MCA), Team Leader (TL), Assistant Market Center Administrator (AMCA), Assistant Team Leader (ATL), General Manager, Productivity Coach (PC), MC Investor, General Manager:
- For these roles, the Market Center's Operating Principal (OP) will need to send an email request for this to Regional Leadership, along with the associate's KWUID and a KWRI Confidentiality Agreement signed by the associate (each role has different requirements, your region will let you know what requirements must be met).

- To request the OP role, the region must make the request directly with KWRI.

No approval needed to get leadership role:
- MC Broker, Market Center Tech Trainer (MCTT), Compliance Coordinator, MC Leader
- Assign Leadership Roles to a New Staff Member
Offboarding
Agents
When an associate informs leadership that they are leaving KW, leaving a team, or transferring to another Market Center, the MCA should immediately provide the Associate Offboarding Timeline and Checklist and a deadline for the associate to complete their data collection.
Once the MCA removes the Associate in CommandMC, all Command access ends immediately; there are no access extensions or temporary reactivations. It is the MCA’s responsibility to ensure that the associate has a clearly communicated deadline for accomplishing their data collection.
Leadership
Removing roles where Regional Leadership notification is needed:
- Operating Principal (OP), Market Center Administrator (MCA), Team Leader (TL), Assistant Market Center Administrator (AMCA), Assistant Team Leader (ATL), General Manager, Productivity Coach (PC), MC Investor, General Manager:

- For these roles, the Market Center's Operating Principal (OP) will need to send an email to the Region, letting them know there is a role change needed (even if you are totally removing the former leader from the KW System.
- This lets them know there is a change happening, and you will also be able to request an interim (or full time) role for their replacement.

Removing roles where no Regional Leadership notification is needed:
- MC Broker, Market Center Tech Trainer (MCTT), Compliance Coordinator, MC Leader
Remove Associates from the KW System
Once the associate/leader has retrieved all of their personal data from Command, you can remove the associate in CommandMC.
- This results in the immediate closing of the associate’s Command, KWConnect, and myKW account logins, and all data and reports accessed through those portals. The associate’s site should be deactivated within 30 days, and the associate’s email within 60 days. Once this process has begun, it cannot be stopped or reversed; account and email access is not extended.
